How to use this petty cash template
- Write the float on the first line as the opening balance.
- Every time cash leaves the tin, add a line: date, what it was for, the amount in the Out column, and who took it.
- Number each receipt with the voucher number and keep it with the sheet. If there's no receipt, fill in a petty cash voucher instead.
- Work out the new balance on every line: previous balance minus Out plus In.
- At the end of the week or month, count the cash. Cash counted plus receipts should equal the float.
- Top the tin back up to the float and start a new sheet.
Common mistakes
- Writing it up later. Lines get filled in from memory at the end of the week and amounts drift.
- No name on the line. When the count is short, nobody knows who to ask.
- Loose receipts. Dockets go missing, so the expense can't be claimed or checked.
