Missing petty cash receipts
A missing receipt doesn't mean a missing expense. You can usually still record it properly, as long as you write it down the right way.
Right now: fill in a voucher
For each missing receipt, complete a petty cash voucher: date, who was paid, what for, the amount, who took the cash and who approved it, plus the reason there's no receipt. Attach it where the receipt would have gone.
Try to get a copy
- Card or bank statement, if any part was paid by card
- The supplier: many shops can reprint a receipt from the date and amount
- Online orders: the order confirmation email
What your accountant will want
A clear record of what was bought, when, how much and why it was for the business. Rules on claiming expenses without a receipt vary by country, so check with your accountant before relying on a voucher for tax purposes.
Stop receipts going missing
- Photograph the receipt at the moment of purchase
- Log the withdrawal before the cash leaves the tin
- Do a quick receipt check every week, not at year end
