The canteen tin, sorted without chasing volunteers
A different volunteer on the canteen every week, cash taken for ice and milk, dockets in someone's pocket, and the treasurer finds out at the AGM. PettyCashing puts a QR code on the cash box so every dollar out has a name, a reason and a photo of the receipt.
30 days free, no card. Then A$9.99 a month for the whole club.
How it works at a club
- Count the box once and print the QR code. Stick it on the canteen float, the bar tin or the raffle box.
- Volunteers scan it with their phone camera, pick their name, type what they took and snap the receipt. No app, no account, nothing to train.
- The treasurer sees it all: what should be in the box right now, every receipt, and who took what, from home.
Built for the treasurer
- A quick count at the end of a shift shows straight away if the box is over or short.
- Every cash-out keeps the volunteer's name, even when the roster changes every week.
- On the 2nd of each month, the treasurer or auditor gets last month's cash-outs, every receipt link and a CSV. No shoebox of dockets at the AGM.
- Handing over to a new treasurer? The history stays in the club's account, not in someone's notebook.
Questions clubs ask
Do volunteers need an app or an account?
No. They scan the QR code on the cash box with their phone camera. The first time, they pick their name from your list (or add it) and choose a short PIN. After that it's two taps and a photo.
What does it cost a club?
30 days free, no card. Then A$9.99 a month or A$99 a year for the club. That's less than one missing $20 note a month.
Can our auditor or the committee see it?
Add the treasurer's or auditor's email and they get last month's cash-outs, every receipt link and a CSV on the 2nd of each month. No login needed. You can also export any month for the AGM.
What if a volunteer forgets to log something?
Do a quick count at the end of each shift. PettyCashing shows what should be in the box, so a gap shows up that night, while people still remember, not at the end of the season.
We're not GST registered. Does that matter?
No. Receipts are kept either way. If you are registered, the GST on each receipt is read off the photo for you.
Rather start on paper?
Use the free petty cash log or petty cash voucher, print it and keep it in the box. When the dockets start going missing, PettyCashing is here.
